Approving or declining space bookings
When a space has been set up to require approval to book, app users are able to request to book the space in the app and the approval is completed in the admin portal.
When a booking request is submitted, the account linked to the space and the approval person nominated to approve space booking requests will receive an email advising them that they have a space booking request to review. Booking requests can be approved or rejected via the email received or in the admin portal.
For spaces that have an auto cancellation period set, requests must be approved or rejected within the time period set or they will automatically be rejected.
The app user who made the booking request won’t be charged or invoiced for the booking until it is approved.
Steps to approve space booking request via email
To approve space booking requests via email, your email must be listed as the approval email for the space.
- Open the space booking request email and click Approve this Request.
- A approve space booking request webpage will open. Review the space booking request, add any comments to be sent to the app user and click Approve this request or Reject this request.
- A confirmation webpage confirming your approval or rejection will show. The webpage can now be closed.
- The app user will receive an email and app notification letting them know their space booking request has been approved or rejected. If the booking request was approved, the booking status will change from Pending Approval to Booking Approved on the My Bookings screen. If the booking was rejected, the booking will disappear from the My Booking screen.
Steps to approve space booking request via admin portal
- From the left-hand side menu, click Spaces > Awaiting approvals.
- On the Awaiting Approvals screen, navigate to the request you want to approve/decline and click Actions > Approve space booking or Decline space booking.
- A window will appear asking if you are sure you want to approve or decline the space booking request. Click Proceed.
- The app user will receive an email and app notification letting them know their space booking request has been approved or rejected. If the booking request was approved, the booking status will change from Pending Approval to Booking Approved on the My Bookings screen. If the booking was rejected, the booking will disappear from the My Booking screen.
