Event creation and edit form field descriptions
- Event name – The name of the event.
- Event location – Where the event is being hosted.
- List View Description – The description of the event that will show in the list view of all the events available to the app user.
- Content Card Description - The description of the event that will show once the app user clicks into the event.
- Event Badge Text – The text that appears on the colored badge under the image in the list view description. This can be used to call out the price or a call to action. The badge is limited to 25 characters. If left blank, the event price will automatically show in the badge.
- Cost – The cost per person to attend the event. If it is a free event, leave the field blank.
- Default Tax Rate – The tax rate for the event will default to your region’s tax rate. To change it, select the tax rate you would like from the drop down. The tax rate selected will apply to the event as well as any added capture fields that incur a cost.
Seating
- Seats available – The maximum number of seats/tickets available per session.
- Quota - Quota allows over booking by a percentage of the seats available. Entering 100 will allow no over booking, any number over 100 will allow a percentage of over booking. For example, if there are 10 seats available and the quota entered is 150, this will allow 5 additional seats.
- Max. seats – automatically calculated based on the quota entered.
- Send Reminder Notification – Opt to send a notification to app users a period of time before the event starts to remind them it starts soon. Notifications being received by the app user is dependent on their notification settings.
Share this Event to other Buildings
- This enables you to share the event with other buildings available in the app that are owned by the same client. When shared with other buildings, the tenants of the other building/s will be able to see and register for the event. The admins of the other building/s that the event is shared with will not be able to edit the event, however they will be able to view the upcoming sessions via the admin portal.
- Event category – The category you want your event to appear in when the app user filters by category, or, if your app has multiple event menu tiles, the category you select will also determine which menu tile the event appears within. Speak to your Host contact if you would like more categories added.
- Display Building Name Over Image – Selecting yes will display the building name of where the event is being hosted under the title of the event on the event list view screen. This is displayed in conjunction with the event location.
- Display reserve button – Selecting yes will display a call to action button for the app user to register for the event at the bottom of the event description once the user has clicked into the event. The button text will automatically be “Book Now”. When user RSVP’ to events, they are given the option to add the event to their personal calendar and you, the admin, are given analytics about the interest in the event.
- "Book Now" Button Label/ Text – If you would like to customize the reserve button text, enter alternative text. The button text is limited to 25 characters.
- Allow late registration – Selecting yes will allowApp users to register before and during the event session until it ends. If set to no, the event session will be automatically removed from the app at the start time.
- Link Account (*Required) – If there is a cost associated with the event, select an account where payments will be sent. This account must be Strip e-commerce enabled. The email address of the linked account will automatically be sent confirmation emails.
- Refund Requires Approval – Selecting No will mean that an app user can cancel and receive a refund without approval first. Selecting Yes will mean that a request will come through to the nominated person to be approved (or denied) before the refund is confirmed. If the refund requires approval, this will be displayed on the Refund Requests page in the admin portal, see how to approve/decline an event refund request.
- Send Notifications to Email Addresses – This will send an email to the email addresses added to this field when the event has been successfully booked by an app user.
- Auto Add Users to Group – Select the user group you would like app users automatically added to when they register for the event.
Capture Fields
- Add custom fields to the event booking screen to capture additional information from the app user in relation to the booking. For example, you could ask for an input of text or numbers, ask a question with a single or multiple choice answer, or ask for a date and/or time. You can make these capture fields required so that the user has to enter information or answer the question in order to book the event. If the field is set to rememberable, the information will be remembered for future bookings so the app user only has to enter the information once at the first time of booking.
Session creation and edit form field descriptions
- Repeat sessions weekly – Selecting yes will allow app users to register for this event on a weekly basis. Select No for one off events.
- Start date – Select the date the date and time the event will start.
- End date – Select the date and time the event will end.
Delayed registration
- Use delayed registration – When yes is selected, the app user will see but not be able to register for the event until the date and time
Late Cancellations
- Prevent late cancellations – How long before the event start time the event becomes uncancellable by an app user. For example, if the app user has registered for an event that starts at 2pm on Friday and the cancellation cut-off is set for 48 hours the app user must cancel before 2pm on Wednesday. If the field is left blank, the app user can cancel right up until the event start time.
- Meeting link – Enter the meeting link if the event is virtual. This link is included in the booking confirmation email sent to app users.
Notifications
- Notifications – Send push notification to targeted building users advising them that a session has been added. Push notifications being received by the app user is dependent on their device notification settings.
